'Withers' and 'Withersworldwide' are the names under which Withers LLP, Withers Bergman LLP and their affiliated partnerships, offices, undertakings, affiliates, including Withers BVI, Withers 衛達仕, Studio Legale Associato con Withers LLP, Withers KhattarWong LLP, Withers Bengoshi Houjin and Withers Gaikokuhou Jimu Bengoshi Houjin (each of which is its own legal entity). References to 'Withers', 'Withersworldwide', 'the firm', 'we', or 'us' are to one or more of those partnerships, offices, affiliate, alliances and undertakings, as appropriate.

This privacy statement sets out information about your rights as an attendee at our events.

Types of personal data

The following categories of personal data is collected for attendance at our events:

• Name;
• Email address;
• Telephone number;
• Dietary, accessibility or other requirements, where applicable; and
• Educational institution or organisations

Where we process your special category data (dietary or accessibility requirements) we ensure to obtain your explicit consent prior to processing. 

Purposes of processing

We will only use your personal data for the purpose for which we collect it, which includes managing registration, attendance, participation at our events and to ensure any special requirements that you request are met by us or communicated to relevant third party providers, where required. 

We may take photographs (and/or recordings) in public areas at our events and we may use these in our marketing materials. If you prefer not to be photographed (or filmed) please let the Withers' host know prior to the event and we will take appropriate measures to ensure the photographers /videographers can easily identify you. If you do not object to this, you hereby grant Withers permission to use, edit, record, publish and display the recording and agree that you are not entitled to any consideration or copyright connection with such recording. 

Data sharing

In connection with our events we may share your personal data with third party service providers that provide services to us for the purpose of providing and managing our events. Where we are co-hosting events, we may share your personal data with other organisations involved in the event. We may also receive your personal data from our co-host to invite you to an event and we will process your personal data on behalf of them. Further privacy information will be contained within the respective co-host privacy policy or you can contact us for further information. 

Data subject rights

We rely on your consent to process the personal data you give us to facilitate the event. This means you have the right to withdraw your consent at any time by contacting us. If you do that, we will update our records to reflect your wishes.
